Commercial Move Check List



 

Are you planning on moving your office to a new location in Colorado? Organizing a commercial move is a complicated process and much more involved than a residential move. Your company’s productivity and profits depending on a steady workflow. The reality is, your workflow won’t be steady during your moving process.

• Create a timeline for your move. Ideally you will have a one month overlap between when you move into your new space and when you have to completely vacate your old space.


• Create a budget. Not only do you need to include the services of a moving company, but also insurance, packing materials, additional moving insurance and other expenses.


• Select a moving company. Talk to at least three reputable movers and get a detailed estimate. Beware if any mover comes in with a much lower bid. Oftentimes charges will be added during your move if they low-ball your estimate.


• Create a Moving Committee at your place of business. Your team can assign responsibilities, inform other employees of their responsibilities during the move, figure out who will be packing electronics (employees or the moving company specialists) and communicate with your employees. 


• Plan the layout. Have your moving committee look at the floor plan of the new office and create an appropriate layout before moving day. If your team is packing up your office furnishings and equipment, make sure all boxes are labeled correctly. If your moving company is going to pack your items, they will also label all boxes and equipment so they will be delivered to the right space in your new office.


• Make Tech decisions. Have your IT department develop a plan for your phone systems, internet, data storage, copy machines, individual computers and security systems. You’ll want everything up and running as soon as you get moved in.


• Get moving supplies. If you are going to pack up your offices and not use the packing services of a moving company, you will need to purchase moving supplies like new cardboard boxes, labels, packing tape, clean packing paper, proper packing equipment for electronics and more.


• Declutter. You don’t want to move equipment you don’t use anymore or other items you don’t want to your new office. Go through your office and sell, donate or trash items you won’t need. It will save you on moving costs.


• Update your vendors. Let them know about your upcoming change of address. Contact your utility companies, delivery services and other suppliers.


Order new equipment and furniture. When you move to a new

office, you might need to get rid of some furniture or buy new furniture. Try to arrange for new furniture delivery immediately following the move so you won’t have delivery personnel and movers getting in each other’s way.


• Start packing. You’ll want all of your packing done a day or two

before the move. You don’t want to be packing when the movers arrive.


Arrange for cleaning services. You want the new office to be clean

when you arrive. Plus, it costs less to clean an empty space than one

filled with furniture. Arrange for your old office to be cleaned after the

move.


Back up computers. Back them up to the cloud or off-site storage. Your office can’t function without updated data. In the event of an accident or catastrophe, insurance may cover the loss of your equipment, but it can’t restore your data.


Moving Day. Let the moving company do their job. Provide water for the movers, and consider providing lunch. You want them to know you are grateful for their services. Appoint the key people your movers should go to for any questions and to perform an inventory of boxes as they are unloaded from the moving vans.


Create a Lost & Found. Things always get lost or misplaced during a move. Designate a place for these kinds of items to be stored so it’s easier to match missing items with their owners.
